Instructions & Quotations
We always require written instructions to avoid possible misunderstandings. In urgent cases, we may accept verbal instructions but request that they are confirmed in writing as soon as possible. Quotations are only valid for a period of one month. If not taken within this period you should contact us for a revised quotation, as insurers frequently change their rates.
Final acceptance of the risk remains at the discretion of the insurer and is subject to receipt of satisfactory proposal information, along with any other appropriate documentation required. We can, on request provide you with a breakdown of your quotation.
Service
As an insurance broker, we act on your behalf as an agent to arrange your insurance cover for your commercial business. We will advise you on our range of insurance products based on a fair analysis of the market to select the most suitable product for you. We can only offer a Special Types Insurance product from Norwich Union.
We will try to ensure that the insurance products we offer match your requirements and we will help you to do this by asking you questions that will help to identify your need. Please ensure that you have any relevant information available when you contact us. If we cannot match your requirements, we will offer you the next most suitable product. We will not recommend a product that does not match any of your needs.
If you request it, we will supply you with a listing of the product providers we place business with. We will also advise you if we arrange insurance through another intermediary who are authorised and regulated by FSA. We will explain the main features of the insurance policy that we offer including who the insurer is and all the important details of cover and benefits as well as any significant or unusual restrictions or exclusions. We will also explain any significant conditions or obligations which you must meet and the period of cover.
We will always provide you with a sample policy if requested. We will explain the cost of the policy, including where applicable, any additional taxation costs, details about how to claim and your cancellation rights. We normally receive commission from the provider on the sale of a product but we do reserve the right to charge a fee instead of/with the commission. We will inform you of the amount of any fee we charge before you accept the policy.
Cancellation
Depending on which Company we place you with, you will incur a charge if you cancel this policy. The normal cancellation charge is 30% of the annual premium and 10% thereafter for every month; however if the policy is written by a company within the Lloyds market any deposit made will be retained along with the right to charge a further amount for the cancellation.
Please note that we do have the right to retain the full premium where a policy is cancelled by the policyholder.
Cancellation of Existing Policies
Please note, if you wish to cancel your policy you must first call us on 01934 429549. For protection you must send us your current Certificate of Insurance with a letter saying why you want to cancel your policy.
Practices vary between insurers, but be aware that premium cancellation refunds are not given after a claim, and otherwise calculated on a short period scale weighted in favour of the Insurer: After the 30% charge within the first 30 days, a charge of 10% per month of cover may be incurred. This means that if you cancel after 6 months of a policy you may not receive any refund - this is due to the insurer retaining their costs which are generally the same whether a policy has run for one month or twelve. Where there is no refund we reserve the right to recover any unpaid commission directly from you. It is important to remember that cancelling your direct debit DOES NOT cancel your policy.
Disclosure of Information
Please note that the information provided by you forms the basis of a legal contract between you and your insurer. It is therefore essential that all information provided by you is accurate and true to the best of your knowledge and belief. You also have an ongoing duty to disclose any relevant information, which may influence the acceptability or assessment of this insurance (if you are in doubt whether such information is relevant then please contact us immediately).
Failing to disclose any material information or changes in the risk to your insurers could invalidate your insurance cover and could mean that part or all of a claim may not be paid. If you are unsure if a fact is material you should disclose it. We ask you to review all information upon receipt and let us know immediately if the details of the cover do not meet with your approval, or do not reflect the instructions previously given to us, especially if any cover that you require is excluded.
Data Protection
Any information we hold about you, whether on our computer system or on paper files will be treated as private and confidential. We will only use and disclose the information we have in the normal course of administering or arranging your insurance policy, or for the purposes of providing you with credit facilities. We may from time to time, use the information we hold about you to send you information on other products and services, which we offer and which we feel may be appropriate.
If you do not wish to receive any marketing information from us, please write to us at the address detailed below and we will mark our records accordingly. Under the Date Protection Act 1998 you have rights of access to any personal information we hold about you in our records. If you have any queries in respect of confidentiality and data protection please contact us in writing.

Compensation
If you cannot settle your complaint with us, you may be entitled to refer it to the Financial Ombudsman Service. We are covered by the FSCS. You may be entitled to compensation from the scheme if we cannot meet our obligations. This depends on the type of business and the circumstances of the claim.
Insurance advising and arranging is covered for 100% of the first £2,000 and 90% of the remainder of the claim, without any upper limit. For compulsory classes of insurance, insurance advising and arranging is covered for 100% of the claim, without any upper limit. Further information about compensation scheme arrangements is available from the FSCS.
Claims
If you have to claim on your policy or have been involved in an incident that may result in a claim you must notify us immediately, failure to do so may invalidate your claim. In an emergency and outside of our business hours your policy may well contain advice on claims with telephone numbers. You should not admit liability or agree to any course of action, other than emergency measures to minimise a loss, until you have agreement from your insurer.
Laws to be Applied
The parties are free to choose the law applicable to a contract of insurance. Unless specifically agreed to the contrary, all contracts arranged through our Agency are subject to the Law of England and Wales.
